Purchases & Referrals

Filter purchases by campaign, link a purchase to a referrer, approve referrals early, and understand purchase statuses.

Written by Adam

Use Purchases & Referrals to find purchases, filter them by campaign, link a non-referred purchase to an advocate or affiliate, and approve eligible referrals before their review period ends.

Find purchases and filter by campaign

Choose All purchases, Referred purchases, Non-referred purchases, or Suspicious purchases. Click the Search and filter results icon to search for a purchase by name, email address, or reference ID.

If you run several campaigns, the Campaign column in All purchases and Referred purchases identifies the campaign associated with each referred purchase. To view purchases for one campaign:

  1. Open All purchases or Referred purchases, then click Search and filter results.

  2. Click Add filter → Campaign, then choose the campaign.

  3. Review the filtered purchases. Click Clear all to remove the filter, then Cancel to return to the purchase-type tabs.

The campaign filter changes the list you see; it does not assign a purchase to a campaign. To link a purchase that has no referrer, clear the campaign filter and use Non-referred purchases.

Marking a purchase as referred

You can manually mark a non-referred purchase as a referral, and set which contact and campaign that purchase was referred through.

Note: If your campaign is stopped or paused, rewards may be delayed or marked as non-rewardable. Activate your campaign to ensure rewards work as normal.

To link a non-referred purchase to a contact and a campaign:

  1. Open Purchases & Referrals using the entry point above, then choose Non-referred purchases.

  2. Click Search and filter results and find the purchase using the associated name, email address, or reference ID.

  3. Once the purchase is found, click Select Referrer under the Referrer column, then click Select Referrer in the popover that appears.

  4. A popup appears. Select the referring advocate or affiliate from the list, or find the contact using their email address.

  5. Click the Campaign dropdown and select the campaign that the purchase was referred through.

Note: Choose a campaign that the selected referrer is enrolled in.

  6. Click Confirm referral.

After an advocate or affiliate is set as the referrer, the purchase is assessed for the current referral reward configured for that campaign. Reward conditions and the review period still apply.

Once you've clicked Confirm referral, you can't change the contact or campaign yourself — not even during the review period.

Picked the wrong contact or campaign? Don't disqualify the referral — that won't undo the link. Disqualifying stops the advocate earning a reward, but the purchase stays linked to the same contact and campaign, and Select Referrer doesn't come back.

Instead, let us know the order number and our support team can clear the referral for you — that returns the purchase to Non-referred purchases, so you can link it to the right contact and campaign.

If the review period has already ended, the advocate may already have been rewarded, and an issued reward can't be recalled — let us know and we'll check what's still possible.

When will the advocate receive the reward? This depends on the type of reward you chose, the reward conditions you set, and if your campaign is stopped or paused. Learn more

Approve referrals before the review period ends

Every referred purchase in ReferralCandy goes through a review period. You can set its length in your account: see the steps for Shopify or other platforms. This gives you time to verify the referral is legitimate before the advocate becomes eligible for a reward.

Once you have verified that a pending referral is legitimate, you can manually approve it to end its review period early.

Why some referrals show “Suspicious”? ReferralCandy automatically flags unusual or high-risk referral patterns. When this happens, the referral is placed into an extended 14-day review period to give you more time to evaluate it (If your existing default review period is more than 14 days, it will retain the default review period).

Sometimes these are false positives, and the referral is actually legitimate. In these cases, you can manually approve the referral to end the extended review period early.

How to approve a referral

  1. Open Purchases & Referrals and choose Referred purchases. You can filter by campaign first if needed.

  2. Select the checkboxes for the eligible pending referrals you want to approve. You can select one or several purchases.

  3. Click the approval button at the top of the list. Its label includes the number selected, such as Approve 1 Purchase.

  4. In the Approve referral(s) confirmation, click Approve.

What happens after you approve

  • The review period ends immediately (regardless of whether it was a normal or Suspicious review period).

  • If the purchase meets your reward conditions and any required purchase-count or reward-tier threshold, the advocate becomes eligible for the reward. Approval does not skip the remaining processing or payment steps for that reward type. See When will referral rewards be sent to an advocate?

Common reasons merchants manually approve referrals:

  • To reward the advocate earlier without waiting for the review period to finish.

  • To override a Suspicious referral if it was mistakenly flagged and you’ve verified it is legitimate.

Important notes

  • Only approve referrals you’ve verified as legitimate.

  • Approval cannot be undone once rewards are issued.

    • After approval, the reward may be sent immediately (depending on your reward type).

    • Coupons or cash rewards might already be used/redeemed, so reversal may not be possible.

  • The “Pending – X days left of review period” tag simply shows how much time is left before the system automatically approves or finalizes the referral (This applies to both suspicious and non-suspicious referrals).

What the statuses on Purchases & Referrals mean

The Status column on the Purchases & Referrals page combines a few separate badges. Depending on where each purchase is in the review and billing cycle, you may see:

  • Pending – X days left of review period — the purchase is still within its review period. This is your window to act: approve the referral early, delete the purchase, or disqualify the referral. Note that disqualifying doesn't unlink the purchase from its contact and campaign. When the countdown ends, the referral is processed automatically, subject to reward conditions and campaign state.

  • Pending – review period frozen — the campaign is stopped, so the review period is paused. It continues when the campaign is Live again. See Campaign states.

  • Suspicious — an automatic fraud check flagged this referral for your review, and its review period is extended to 14 days if your default is shorter; a longer default review period is retained. A suspicious flag is a heads-up, not a verdict — see How to handle fraud for how to investigate and act on it.

  • Rewardable / Not Rewardable — whether this purchase qualifies under your campaign's Reward conditions (for example, the minimum purchase amount) and any disqualification you've made, so it can count toward the advocate's rewards. A reward also requires the review period to end and any required purchase-count or reward-tier threshold to be met. Delivery follows the processing and payment steps for the reward type.

  • Success fee charged / Success fee not charged — whether ReferralCandy's success fee for this referred purchase has been billed to your account. This is separate from the reward badges: a purchase can be Not Rewardable and still show Success fee charged, because reward eligibility and the success fee are checked independently. See How are cash rewards or success fees calculated on referred purchases?
